How do we process data?

OutBe Srl, in order to keep interested parties informed about its activities, offers the possibility to voluntarily subscribe to its newsletter through its website.

To this end, OutBe Srl requests that the data subject provide only the data necessary to periodically send newsletters.

In this regard, in full compliance with personal data protection regulations (Italian Legislative Decree 196/03 and EU Regulation No. 2016/679 – GDPR), OutBe Srl invites you to read the following information notice.

Data Processing Methods
The personal data collected will be processed by OutBe Srl using electronic or digital means.

OutBe Srl will take care of the data received:

• accurate recording, so that it corresponds to what you have declared;

• accurate recording, so that it corresponds to what you have declared;

• storage in a form that allows identification for no longer than is necessary for the purposes for which the data were collected, and in any case until the data subject withdraws consent.
  
  

Purposes of processing
The processing of personal data required for registration to the ecosystem (including name, surname, email, organization name, website, Instagram and related handles, position and address, logo, type of sport/activity, impact level, social media channels used, mission and vision, actions taken, relevant accredited photos and videos, types of citizen science data collected and methodology, suggested ambassador names, acceptance of purpose and scope, objectives, sharing, terms, and newsletter subscription) will be carried out in accordance with the principles of fairness, lawfulness, and transparency, while safeguarding your privacy and rights, in line with the Company’s privacy policy.

The Company also undertakes to process your data in accordance with the principle of “data minimisation.” This means that the Company collects and processes data only to the extent necessary.

It therefore falls within the scope of Article 6(1)(b) of the GDPR.

The provision of personal data is mandatory for the purposes set out herein. Consequently, failure to provide the data will make it impossible to receive periodic newsletters.

OutBe Srl reserves the right to remove data from its records if, following verification, such data are found to be inaccurate, incomplete, or outdated, as well as upon the specific request of the data subject.

Personal data may be disclosed, strictly in relation to the purposes indicated above, to the following parties or categories of parties:

a) parties to whom applicable law requires disclosure, in compliance with tax and accounting regulations;

b) professionals (both individuals and legal entities) to whom the Owner may assign tasks for the performance of certain activities on an outsourced basis.

c) service providers (including IT service providers) entrusted with specific management tasks related to contractual obligations (such as payroll, meal vouchers, IT system management, data entry activities, etc.).

We also inform you that:

• The disclosure of data to the categories of parties referred to in point (a) constitutes a legal obligation with which the Owner must comply.

• The disclosure of data to the categories of parties referred to in points (b) and (c) may be necessary for the performance of activities only if the Company’s internal staff is unable to manage such activities in-house.

With regard to the categories of parties referred to in points (b) and (c), the Owner undertakes to rely exclusively on entities that provide adequate guarantees regarding data protection. The Owner shall appoint them as Data Processors pursuant to Article 28 of the Regulation. The list of Data Processors is available at the Company’s premises. You may review it upon request to the Owner via the email address provided at the end of this notice.

In addition, the data will be processed, exclusively for the purposes set out above, by the Company’s employees and/or authorized collaborators, specifically designated or instructed by the Owner pursuant to Article 29 of the Regulation.

Data dissemination
Personal data will never be published, displayed, or made available to or accessible by unspecified parties, except where required by law, regulation, or EU legislation.**

The personal data provided will be stored for the necessary period and, in any case, no longer than the withdrawal of the service by you.

Rights of the concerned

With regard to the processing of personal data, you always have the right to request from OutBe Srl:

• Access. You may request confirmation as to whether or not personal data concerning you are being processed, as well as further clarification regarding the information set out in this notice;

• Rectification. You may request that data you have provided be corrected or supplemented if it is inaccurate.

• Cancellation. You may request the deletion of your data if they are no longer necessary for our purposes; in the event of withdrawal of consent or your objection to processing; in the case of unlawful processing; or where there is a legal obligation to erase the data or in relation to data concerning individuals under sixteen years of age.

• Limitation. You may request that your data be processed solely for storage purposes, excluding any other processing activities, for the period necessary to rectify your data, in the case of unlawful processing to which you object to erasure; where you need to exercise your rights in legal proceedings and the data we hold may be useful to you; or in the event of an objection to processing while an assessment is ongoing as to whether our legitimate grounds override your interests.

• Opposition You may object to the processing of your data at any time, unless there are legitimate grounds for us to continue the processing which override your interests, such as for the establishment, exercise, or defence of legal claims.

• Data portability. You may request to receive your data, or have them transferred to another data controller designated by you, in a structured, commonly used, and machine-readable format.

We also inform you that you have the right to lodge a complaint with the supervisory authority, which in Italy is the Italian Data Protection Authority (Garante per la Protezione dei Dati Personali).
